Making a Field Trip Reservation
- Upon confirmation of your school’s field trip date, you will be expected to make a 25% deposit, based off your total admissions fee, in order to hold your reservation.
- This 25% deposit will be credited towards your final payment.
- Purchase orders must be made out to the total amount due for your visit.
- Reservations without a deposit payment or a PO may be removed from the reservation calendar by Museum Education staff.
- This deposit will be waived if your school is receiving funding for your trip to OSV.
- The remainder of your payment is due 2 weeks prior to your visit date.
- Accepted methods of payment: check (made payable to Old Sturbridge Village), credit card, cash, PO
- No discounts (including Village memberships) may be applied to a group rate visit.

Updating your Visit Numbers
- Two weeks prior to your visit, you must confirm your final visit numbers, including students, chaperones, and teacher/school staff. Confirm your numbers by emailing [email protected].
- This updated count must include chaperones. Any chaperones who are not included in the school’s chaperone count must pay full price admission at the door. At this time, the chaperone rate is $17 and the full price admission rate is $30.
- Additional students and school staff may be added after the 2-week cut-off date. Please call us as soon as possible to do so.
- There are no refunds for decreased attendance on the day of your visit.
Rescheduling your visit
We understand that changes happen! If you need to reschedule your visit to OSV, we will work with you to find a mutually agreed upon date for a new visit.
- If you are going to be late, please call us at 508-347-0274 as soon as possible to update your arrival time. If you have programming scheduled for your visit, OSV staff will do their best to rearrange the day’s schedule to accommodate, but this is not guaranteed.
Cancellation Policy
- If you need to fully cancel your field trip reservation, your 25% deposit is refundable up until 2 weeks prior to your visit date. After this point, your deposit becomes non-refundable.
- If you have used a PO to reserve your reservation and cancel your trip within this window, you will be billed for the deposit fee of 25%.
Weather Policy
- Old Sturbridge Village is open rain or shine. We have covered lunch storage and indoor lunch space; as well as a limited, covered, outdoor lunch space. Please come prepared for your visit.
- Schools will be notified in the event of a closing or cancelation by Old Sturbridge Village and will not be responsible for any fees.
